Exchange users sent and received traffic reports

As an Exchange Server administrator, email traffic is one of the key statistics you always have to keep an eye on. Besides tracking the organization-level traffic, you must also track the number of emails sent and received by individual users. This helps you identify how effectively they use their mailboxes, learn their usage pattern, and also protect against spam, as any repeated and abnormal increase in the number of emails to and from a mailbox could indicate spamming activity.

Analyzing email traffic with Exchange Reporter Plus

Microsoft Exchange administrative and management consoles don’t offer you much help in finding the number of emails sent and received by a user. PowerShell can be used for analysis if you're ready to put in the long hours writing scripts. Received Traffic for Users

Received Traffic for Users

This report lists all the emails received by users in your Exchange organization during any specific period of time. You can also view the incoming email traffic for multiple users using this report. For any user, view their:

  • Email address and all emails received
  • Sender’s address
  • Date of email receipt
  • Message size
  • Email subject

Sent Traffic for Users

Sent Traffic for Users

This report shows all the emails sent by users in your Exchange organization during a specified time frame. You can also view all outgoing email traffic for multiple users using the Sent Traffic for Users report. View all emails sent by a user, including:

  • User’s (sender) email address
  • Recipient’s address
  • Email sent date
  • Message size
  • Email subject

Number of Messages by Sender

This report shows the number of messages sent in a specified period by the users in your Exchange organization. You can also view an exportable graph that includes information about the top 10 senders by the number of messages sent. Use this report to view:

  • Total number of messages sent
  • Number of internal and external messages sent
  • Actual number of messages sent

This report displays the senders' mail traffic by the size of the messages for a specific period. The report also provides a graph of the top 10 senders by the size of the messages sent. You can view:

  • Total size of the mails sent
  • Size of internal and external messages sent
  • Email address of the senders

Number of Messages by Sender Based on Recipient Status

Number of Messages by Sender Based on Recipient Status

This report shows the senders' mail traffic using the number of messages sent along with the details on the recipient status. You can view:

  • Display name of the mailbox
  • Number of mails under To, Cc, and Bcc status

Number of Messages by Receiver

This report shows Exchange email statistics of the receivers' traffic by the number of messages for a specified period. You can also view a graph that displays information about the top 10 recipients by the number of messages received. It displays:

  • Total number of mails received
  • Number of internal and external messages received
  • Email ID of the receivers

Size of Messages by Receiver

Size of Messages by Receiver

This report displays the receivers' traffic by the volume of the messages received within a specified period. It also has an exportable graph of the top 10 recipients by the size of the messages received. You can view:

  • Total size of the mails received
  • Size of the internal and external messages received
  • Email IDs of the receivers

This Exchange sent and received mail report shows the mailboxes' sent and received traffic for a specified period. You can also view two graphs that represent information about the top 10 recipients and top 10 senders by the number of messages received and sent respectively. View:

  • Number of external and internal messages sent and received
  • Size of external and internal messages sent and received
  • Total size of all the messages sent and received
  • Total number of messages sent
